Who we are
Energy Planner Limited (Company No. 15822406), Jubilee House, East Beach, Lytham St. Annes, FY8 5FT, is the data controller for the personal information described in this notice. We are registered with the Information Commissioner's Office under registration ZB720993. For any privacy question or request, contact dataprotection@energyplanner.co.uk.
Information we collect
- Contact details such as your name, job title, organisation, email address and phone number, when you contact us, book a call, submit a form or work with us.
- Supply information such as site addresses, meter numbers, consumption data, bills and contract details, which you or your suppliers provide so we can advise you and obtain quotes.
- Account and contract information relating to the contracts we arrange and manage for you.
- Application details if you send us your CV or apply to work with us.
How we use it
- To respond to your enquiry and provide our consultancy services.
- To obtain quotes and to process and submit utility contracts to suppliers.
- To enable supplier credit checks and to help prevent fraud.
- To communicate with you about your supply contracts, renewals and account.
- To comply with our legal, tax and regulatory obligations.
- To send you The Energy Planner Brief, only if you have asked to receive it.
Our lawful bases
We rely on the steps needed to enter into and perform a contract with you; our legitimate interests in running and developing our business, responding to enquiries and preventing fraud; compliance with our legal obligations; and your consent for our newsletter, which you can withdraw at any time.
Who we share it with
We share information only where needed to provide our services: with utility suppliers and the procurement partners we use to obtain quotes and process contracts, with metering and data service providers where you have asked us to arrange these, and with the service providers that host our systems, such as Google Workspace. We do not disclose your information to anyone else except to help prevent fraud or where required by law. We never sell your data.
Where it is stored
Our business data is held in Google Workspace and encrypted in transit and at rest. It may be stored in the UK, the European Economic Area or the United States. Any transfer outside the UK is protected by recognised UK GDPR safeguards, such as UK adequacy regulations or the International Data Transfer Addendum.
How long we keep it
We keep your details for the duration of any contract we place plus seven years, in line with HMRC and audit requirements, and for twelve months where no contract is placed. After that, they are securely deleted.
Your rights
Under UK GDPR you have the right to access, correct, erase, restrict or object to the use of your personal information, and to data portability. To exercise any of these rights, contact dataprotection@energyplanner.co.uk. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
This website and cookies
This website does not use cookies for advertising. With your consent, we use Google Analytics to understand how visitors use the site, such as which pages are viewed and whether an enquiry form is sent. Google Analytics sets cookies only if you click Accept on the cookie banner. If you decline, no analytics cookies are set. Your choice is remembered in your browser, and you can change it at any time using Cookie settings at the foot of any page. Google processes this data under its own privacy terms, and we do not use it to identify you.
Our fonts are loaded from Google, which receives your IP address in order to deliver them. When you book a call, the booking is handled by Google Calendar under Google's own privacy terms. Enquiries and careers applications, including any CV you upload, are delivered to our inbox by email through a form processing service. CVs are used only to consider you for roles with us.
